Host guide — MLP team session

Running an MLP night, start to finish

Everything you tap, in the order you tap it — from filling the roster to the moment the league table updates.

Filling the event

Beforehand, and at the door

    Tap into the week's event

    The event is already posted, and if someone else is running it tonight, hosting has already been handed to you. Tapping it opens the roster.

    Add players by QR — either direction

    Scan — you scan the player's QR

    Show — you put the event QR on screen and they scan it

    Whichever is quicker in the moment. Scanning also marks the player as here; typing a code just adds them to the roster.

    Running a front desk? Make that person a co-host. Event → Add a co-host → scan their QR. They can then scan players in as they arrive, on their own phone, without taking one of the 16 playing spots. A co-host is optional — you can run the whole night yourself — but it saves you doing the door and the courts at once.

    Players can still join themselves up to 10 minutes past the start time. After that, you or the desk add them.

    At the door, fill the open spots

    Tap the + on the next open spot → scan their QR in the pop-up

    This is the path once the start time has passed but you haven't started the session — the usual way the last few players get on.

    All 16 must be registered before you can start

    An MLP event won't start until every one of the 16 spots is filled. Start stays inactive until then.

    Registered, not present. All 16 have to be on the roster because four teams of four need sixteen people, and nobody can be added to a team once the teams are built. Who has actually arrived is a separate question, settled at check-in — step 7.
    Full, but somebody is missing? A no-show is holding their spot. The app will tell you how many of the 16 have actually checked in. Remove the no-show from the roster and scan the person standing in front of you.

    If someone else is running it, hand it over now

    Event → Transfer hosting, or in-session SettingsTransfer hosting

    Hosting moves outright — the new host gets everything the original had, ending the night included. You can hand it back in one tap.

    A co-host is a different role. Co-hosts are a second pair of hands: they check players in, run the courts and score. They cannot end the session. Only the host of record closes the night.

Building the teams

    Build each team, then set the line order

    Pick the team from the drop-down → tap players to add them → Confirm

    Repeat for all four. In a league season the name comes from the team you picked, so there's nothing to type. Line order can be changed right up until the games begin.

    When all four are confirmed → Begin Session

    It usually picks the team for you. As soon as a player who has played this season lands in the slots, the drop-down locks onto their team — and the last team left is chosen automatically. Override from the drop-down any time.
    Two things it will query, and you can overrule both. If someone has played for a different team this season it asks before adding them. If you put a man in a spot reserved for a woman (or the reverse) it asks too. Both are nearly always a mis-tap — but a full roster in the wrong mix beats calling the night off, so the choice is yours.

    Check players in

    All 16 are listed. Anyone the front desk already scanned starts ticked, marked Front desk — nothing for you to do. Tap an empty box for anyone who reached the court without checking in.

    You don't need all 16 present. Begin Tournament lights up as soon as enough players are in to play one of the required games — until then it's dimmed, with a hint telling you what's missing.

    Someone ticked but not actually here? Tap their name to untick them. Checked-in players are who the app builds games from, so a player who checked in at the desk and then wandered off will be picked for a game that then can't be played. Tap them again when they're back.
    Two different buttons, two different jobs. Begin Session on the team-building screen opened check-in. Begin Tournament here starts play — and it's the one that waits for players.

    Begin — games appear on each court

    The app assigns every matchup from who's checked in. You don't pick them.

Playing the rounds

The bulk of the night

    Score each game as it ends

    Two ways, whichever suits the moment:

    Number selectors — set each team's score directly

    Voice — tap twice anywhere on the side of court of the pair that won, then read out the winning score and then the losing score: "fifteen, six"

    When the score reads correctly, tap the green Accept button.

    A small arrow shows which side serves first. The app picks it and evens it out across the night, so no team gets first serve more often than another. It settles the question at the net; it doesn't enforce anything.
    Each game is recorded as you accept it. You're never holding the whole night in one unsaved lump.

    Take the next game

    The court clears and the next matchup is assigned. Tap to accept it and play on.

    Late arrivals, and anyone who slips away

    Bench (in the footer) → tap a name to check them in

    Late arrivals join the rotation from the next assignment. Anyone on a team can be checked in whenever they turn up.

    Gone to the toilet, the bar, the car park? Tap Away next to a waiting player and the app stops picking them for games. They move to Stepped away, where one tap brings them Back. It won't let you do this to someone who is mid-game — score that game first.

    Watch it, fix it

    Games — every completed game; tap any score to edit it

    Stats — standings, updated as each game ends

    Tap a court title to rename it to the real court number. Settings turns on an optional per-game timer.

The Final

    Optional — and it doesn't count

    Tournament Complete → Set up final → Final Standings

    Two buttons, and either one is a complete way to finish:

    Proceed to Final — play the top two off

    End Tournament & Record Scores — skip it and file the night now

    Short of time? Take the second one. The final is an exhibition — it changes nothing in the league table, the season standings, or anyone's rating. Ending here records exactly what ending after a final would; the only thing you lose is the extra match. What you must not do is walk away without pressing either.

    Set the pairing

    MF — tap to choose which man and which woman play Mixed 1; the other two take Mixed 2.
    MX / MX ALL — nothing to choose, the lines come from the seeds.

    Then → Begin Final

  3. 15

    Play it to 21, scoring point by point

    Players switch every 4 points played — a card announces each switch and you tap Continue.

    Scoring: tap the ball on the side of the team that won the last point to award it

    This is live rally scoring, not an end-of-game score like the rounds.

    Awarded a point to the wrong side? Undo it. The pairing follows the score both ways, so an undo puts the previous four back on court rather than skipping ahead.

Closing the night

This is the step that counts

    End the tournament to report all the scores

    CHAMPIONS screen → End Tournament
    or, at any point, End in the bottom bar

    Confirm when asked. You're offered the CSV on the way out — take it if you want your own copy.

    Nothing reaches the league table until you press this. Walking away with the session open leaves the week uncounted. If you genuinely need to pause, choose keep it going — the night is saved and a Return to session card waits on Home.

    Wait for it to confirm

    Ending files the results against the event and closes it. If it says it couldn't record, or that this week's teams didn't save, stay where you are and try again — the session is deliberately left running so nothing is lost.

  3. 18

    Check the table

    League standings update as soon as the night is filed. Open the season page and confirm the week is there.

    If a banner says some games couldn't be matched to a team, tell the league organiser — usually a substitute played who hasn't been assigned to a team this season. The week can be repaired without replaying anything.
  4. 19

    Review or export for 7 days

    The finished event keeps Review results and Export on its card for a week. After that the snapshot expires — the league standings keep the result permanently.

If something goes wrong

The Start button won't light up
You're short of 16 registered players. Check the roster for empty spots and fill them with the + tile.
Begin Tournament is dimmed on the check-in screen
Not enough of the right players are checked in yet to make a single valid matchup. The hint above the button tells you what it's waiting for.
"This week's teams didn't save"
Tap Try again. You can carry on either way — the app retries when the session starts and again when you end it — but if it keeps failing, tell your league organiser rather than pressing on quietly.
Someone turns up who isn't in the 16
Scan them at the desk — if there's a spot they're added and checked in at once. If the event is full, a no-show is holding a spot: remove them from the roster first. Note that nobody can be added to a TEAM once teams are built, so if you're past that point, play them in place of an absentee and tell the organiser who actually played.
You need to hand the night over mid-session
Settings → Transfer hosting. Their device must tap Take over session before yours is released; your screen then stays visible but read-only.
You scored to the wrong team
Games tab → tap the score → fix it. Standings recalculate from the correction.
Covers the MLP team session as it behaves in the current build. All 16 register before you start; round games count; the final never does; the night reaches the league only when you end the tournament.
